The Complete Baby Shower Planning Timeline
Week-by-week guide so nothing falls through the cracks.
Planning a baby shower is a 12-week project with a hard deadline — the baby's not waiting. Here's exactly what to do and when, so nothing slips through the cracks.
12 Weeks Before: Lay the Foundation
This is the big-picture week. Get alignment on the essentials:
- Set the date. Check with the expecting parent and key guests (grandmothers, best friends) for conflicts. Weekends between 28–32 weeks are ideal. Saturday afternoon or Sunday brunch are the most common.
- Book the venue. If it's at someone's home, confirm with them. If you need a rental, book now — popular spots fill up 2–3 months out.
- Set a budget. Be honest about what you can spend. A $500 shower can be just as beautiful as a $3,000 one.
- Choose a theme. Or at minimum, a color palette. This drives every decision after.
- Finalize the guest list. Get names and contact info from the expecting parent. Typical range: 20–40 guests.
8 Weeks Before: Get the Word Out
- Send invitations. Digital (Paperless Post, Canva) or physical — either is fine. Include: date, time, location, registry link, dress code if any, RSVP deadline (set this for 3 weeks before the shower).
- Plan the menu. Decide on catering vs. homemade vs. potluck. If you're ordering a custom cake, place that order now — bakeries book up 6–8 weeks out.
- Start shopping for decorations. Especially if ordering from Etsy or Amazon — shipping times vary. Get the big-ticket decor items now.
- Coordinate with co-hosts. If you have a co-host, do a planning call. Divide responsibilities clearly.
RSVP reality: Expect about 70% of invitees to attend. For a 30-person guest list, plan food for 22–25. Some people will RSVP yes and not show; others will RSVP no and show up. It balances out.
4 Weeks Before: Details Come Together
- Plan games. Pick 2–3 games (see our games guide). Buy or print supplies. Get prizes.
- Buy remaining decorations. Balloons, flowers (order if using a florist), table settings, signage.
- Confirm RSVPs. Follow up with non-responders via text. You need a headcount for food.
- Plan the flow. What happens when? Rough timeline: arrive/mingle (30 min) → game (15 min) → food (30–45 min) → gifts (30 min) → game (15 min) → wind down.
- Arrange for any rentals. Tables, chairs, linens if needed.
2 Weeks Before: Final Prep
- Final headcount. Confirm with caterer or adjust your cooking quantities.
- Prep favors. Assemble and package party favors if you're doing them. Keep them simple — a cookie in a bag with a ribbon is perfect.
- Confirm vendors. Call the bakery, caterer, florist, or any rental companies. Reconfirm date, time, and order details.
- Buy beverages. Non-perishable drinks (sparkling water, juice, wine) can be purchased now.
- Make a day-of checklist. Write down everything that needs to happen the morning of, and assign tasks if you have helpers.
1 Week Before: Almost There
- Set up what you can. Hang banners, set out non-perishable decorations, arrange furniture.
- Charge devices. Camera, phone, Bluetooth speaker, laptop (if doing a slideshow or virtual component).
- Prep a playlist. 2–3 hours of background music. Spotify has great "baby shower" playlists, or just pick something mellow and happy. Volume should be conversation-level, not concert-level.
- Grocery shop. Buy perishable food items, fresh flowers, ice.
- Confirm with the expecting parent. Make sure they know arrival time (usually 15–30 minutes after guests).
Day Of: You've Got This
- Setup (2–3 hours before): Arrange food, final decorations, set up game stations, put out the gift area, test music.
- Delegate: Assign someone to greet guests, someone to manage the gift log (who gave what — critical for thank-you notes), someone to take photos.
- Enjoy it. Seriously. The planning is done. Eat the food, play the games, and celebrate. Small things going wrong (a deflated balloon, late guest, rain on the patio) don't matter. Nobody will remember them.
After the Shower
- Thank-you notes (within 2–3 weeks): Handwritten, mentioning the specific gift. This is the expecting parent's responsibility, not the host's.
- Return duplicates: Check receipts and return windows. Most stores give 90 days.
- Buy remaining essentials: Use the registry completion discount (most registries offer 10–15% off remaining items after the shower).
- Share photos: Create a shared Google Photos album or AirDrop photos to guests. People love having photos from the shower.
